Corporate Travel Coordinator at Seattle

Job Description

PRIMARY FUNCTION:

Primary responsibilities to coordinate Seagoing hotel room blocks with contracted hotels and individual hotel arrangements. Communicate hotel arrangements in accordance with company and department guidelines. Responsible for assisting HAL/SBN Business Travelers with all aspects of their travel including, but not limited to air, hotel, and car reservations.

ESSENTIAL FUNCTIONS:

  • Responsible to coordinate Seagoing hotel room blocks with contracted hotels and individual hotel arrangements for assigned Ships as needed; while evaluating costs to ensure all travel is within Seagoing budget guidelines.
  • Ensure that all parties involved, including: manning agents, planning managers, ships, transfer and port agents, and employees are informed of all the hotel arrangements in a timely manner in accordance with company guidelines.
  • Responsible for assisting HAL/SBN Business Travelers and Admins, as assigned. With ability to provide timely, accurate and organized responses while processing their travel requirements.
  • Evaluating costs and services available, which best suit each travelers requirements including reduced rate opportunities for air, hotel, and car reservations as received along with changes or deviations; within the airline reservations system and via phone/email.
  • Quality control each reservation completed and prepare for ticketing via airline system; including all necessary reporting data in PNRs.
  • Review exceptions and conflicts to policy with Supervisor to determine alternatives and direction.
  • Maintain positive and professional rapport with all internal and external customers.
  • Assist Supervisor and Manager with special programs and projects as directed.
  • Job Requirements

    • One year travel industry experience required
    • Experience with Sabre required, familiarity with other GDS systems desirable
    • Knowledge of Air Tariff rules and regulations
    • PC skills, Excel, Word, experience desirable
    • Understanding of the Holland America Line product
    • Strong interpersonal and communication skills
    • Strong organizational, problem solving skills, and the ability to handle multiple priorities.
    • Ability to work independently and meet deadlines
    • Ability to work weekends, Holidays and overtime based on business need
