Job Description

Job Summary and Mission

This position contributes to Starbucks success by providing advanced, dedicated administrative support of a highly confidential and complex nature to an executive vice president or above and by acting as a functional resource for the assigned business unit or department. Exercises independent judgment and discretion in making decisions. Plans, implements and directs multiple concurrent activities and projects that support company and business unit/department programs, processes and objectives. Communicates with both internal and external customers, including high level executives. Models and acts in accordance with Starbucks guiding principles. Summary of Key Responsibilities Responsibilities and essential job functions include but are not limited to the following:
  • Provides highly advanced administrative support to executive vice president or above. Organizes and prioritizes phone calls, inquiries and complex or high volume requests for information. Screens and prioritizes direct inquiries for senior executive
  • Leads and organizes highly complex activities such as team and cross-functional meetings, conferences and department activities. Acts as host and facilitator at meetings. Develops meeting agendas and takes and distributes minutes. Tracks and follows through on action items
  • Composes, types, signs and releases correspondence. May research background material and collect data for reports, meetings, events and correspondence. Creates various charts, tables, graphs and presentation materials, often containing confidential content. Edits copy for spelling, grammar and layout
  • Performs general administrative activities including organizing and maintaining filing systems; processing of paperwork, invoices and expense reports; prioritizing, distributing and acting on mail
  • Organizes both routine and complex domestic and international travel in compliance with company policies and procedures
  • Effectively manages executive and function master calendars with attention to accuracy, detail and allocation of time and resources to promote productivity and successful execution of executive, function and company goals and objectives
  • Advises and directs partners in the use of the business unit or departments products and services
  • Ensures department-wide awareness and compliance of company policies and procedures
  • Leads project teams and sub-teams to drive solutions for business unit and department administrative process improvements
  • Regularly handles highly confidential, extremely complex and non-routine information
  • Supports budget process by reviewing and auditing department expenses as assigned. Coordinates budget and forecast requirements for business unit or consolidated department and provides research and analysis for variance reporting
  • Identifies and establishes external information sources and relationships through personal contacts, industry meetings and developing working relationships with business firms and key customers
  • Actively builds an effective administrative team within function by providing coaching, feedback and development opportunities
  • As a member of the leadership direct report team, actively participates in meetings and activities as requested
  • Actively participates in the recruiting of administrative staff for department
  • Supports executive, department, and administrative team in coffee education as a part of Starbucks core business
  • Leads and executes special projects and other related duties as requested
